Upload Attachments to a To Do

Attach files, images, videos, or other relevant documents to your construction tasks in ConstructionOnline™

BACKGROUND

ConstructionOnline To Do Lists serve as a hub for construction task management, providing users with powerful yet flexible tools that help them build out multi-level task lists, allocate resources, monitor cost impact, document task progress and completion, and more. To enhance task documentation and team communication, ConstructionOnline provides convenient Attachments for To Dos. By including relevant documents, photos, and/or videos as To Do Attachments, project team members can quickly and confidently access reference materials and/or document their progress to successfully complete the task at hand.

STEPS TO UPLOAD ATTACHMENTS TO A TO DO

  1. Navigate to the desired Project via the Left Sidebar.
  2. Select the Project Tracking tab to automatically open the To Do Lists category.
  3. Within the To Dos pane in any View, locate the To Do you wish to add an Attachment to.
  4. Right-click on the To Do, and select the "Attach File(s)" option. 
  5. This will automatically open the Attachments tab within the To Do blade extension where you can proceed to add new Attachment(s) by clicking the green (+) Add New Attachment button. 
  6. Within the Upload File(s) window, choose how you would like to upload your attachments:
    1. Upload from Your Computer: Upload files from your current device.
    2. Upload from ConstructionOnline: Select files from any ConstructionOnline Project File, Opportunity File, Company File, or My File location.
    3. Upload from Your Cloud File Storage: Choose files or folders from your cloud storage to upload into ConstructionOnline.
      1. If you have integrated your preferred cloud storage with ConstructionOnline, the available files will appear within the respective cloud storage option.
      2. If you have not integrated your preferred cloud storage to ConstructionOnline, select the hyperlinked "Click here" text within your preferred cloud storage option to allow ConstructionOnline to access your cloud storage contents. ConstructionOnline supports Cloud File Integration with: 
        1. Google Drive
        2. OneDrive
        3. Dropbox 
        4. Box 
      3. ConstructionOnline also supports an integration with Google Maps, allowing you to search for a location via the Google Maps Scanner and create an image file of the map or satellite view. 
    4. Click and Drag File(s): Drag & drop files into the window for upload.
  7. If the ☑️ Close when upload is complete option is selected in the bottom left hand corner of the screen, the Upload File(s) window will close upon successful upload of the file(s). 
    1. The ☑️ Close when upload is complete option is selected by default. 
    2. If this option has been deselected, the Upload File(s) window will show an "Upload Complete!" message upon successful upload of the file(s). Click the Close button to exit the Upload File(s) window. 
  8. The uploaded document(s) will now appear under the Attachments tab. Click the blue "Save" button to finish saving the files to the To Do.
    1. Any To Do with Attachment(s) will be designated with a📎paper clip icon in the Attachments column of the dynamic tables in List and Group By Views.
    2. Please note that To Do Attachments are not automatically added to Project Files. Company Users can manually save Attachments to Project Files after the Attachment has been uploaded. 

    ⭐ The Attachment tab can also be accessed by locating the Attachment column on the dynamic table in List or Group By View (designated by a📎paper clip icon) and clicking into the desired cell to open the To Do blade extension. The Attachment column is shown by default on List and Group By View's dynamic tables.     ⭐ Once uploaded, and depending on Card Layout and Density settings, Attachments will appear as thumbnails on To Do Cards in Board View. Directly clicking on the thumbnail will open a full-screen preview.

    ⭐ If multiple files have been attached to a To Do, ConstructionOnline will denote the number of attachments on the To Do Card in Board View. Files can be scrolled through using the arrows that appear when hovering over the To Do's Attachment thumbnail.

    ADDITIONAL INFORMATION 

    • Working with To Dos that are not assigned to a Project? All Company To Dos can be accessed from Company Overview > Project Tracking > To Do Lists.
    • Attachments cannot be added to Subtasks. 
    • Most common file types may be uploaded as an Attachment to a To Do, including PDF, DOC, JPG, and PNG files. 
      • Please note that if an HEIC file is uploaded as an Attachment, ConstructionOnline will automatically convert the file to a JPG.
    • Once uploaded, Attachments can be managed by clicking the gray three-dot action menu next to the desired Attachment. More information on managing To Do Attachments can be found in this article. 
    • Permissions: ConstructionOnline Company Users must have "Can Create, Edit, & Delete" To Do Lists permissions to be able to attach files to a To Do. 
      • Additionally, any Company User added as an Assigned Resource to a To Do can add Attachments, despite their To Do Lists permissions. 
    • ClientLink™/TeamLink™ Access: In addition to global ClientLink/TeamLink permissions for To Do Lists, ClientLink and TeamLink Users must also be added as an Assigned Resource in order to add and manage To Do Attachments. 
    • CO™ Mobile App: Files can be attached to To Dos via the CO Mobile App.
