Assign Resources to a To Do

Add a company employee, subcontractor, client, or other project team member to a construction task

BACKGROUND

As a part of its industry-leading tools for construction project management, ConstructionOnline™ provides construction companies with cutting-edge solutions for building and managing detailed, integrated construction task lists. To enhance accountability and improve project efficiency, ConstructionOnline Users can clearly designate the individuals or teams required to complete each task, or those related to the completion of the task, by assigning Resources. ConstructionOnline provides two different Resource types for To Dos and Subtasks—Assigned Resources and Related Resources—that, generally, designate different responsibilities and have different viewing and editing permissions.

PREREQUISITES 

There are two types of Resources that can be assigned to a ConstructionOnline To Do:

  • Assigned Resource designates Contact(s) responsible for completing the task. Assigned Resources can view, edit some fields, and mark complete assigned To Do(s) based on specific user permissions. 
  • Related Resource designates Contact(s) you wish to be associated with the task or would like the task to be visible for. Related Resources can view assigned To Do(s) based on specific user permissions. 

In order to assign a Resource to a To Do, the individual must first be added as a Contact in ConstructionOnline. Available Assigned and Related Resources are pulled from the Company Contacts List and cannot be added through the To Do Lists feature. 

STEPS TO ADD RESOURCES TO A TO DO

  1. Navigate to the desired Project via the Left Sidebar.
  2. Select the Project Tracking tab to automatically open the To Do Lists category.
  3. Within the To Dos pane in any View, locate the To Do you wish to add a Resource to.
  4. Right-click on the To Do, and select the "Edit To Do" option. 
  5. This will open the To Do blade extension where you can add Assigned and/or Related Resources by typing the Contact(s) name into the corresponding field or clicking into the desired field.
    1. Resources that populate here are pulled from your ConstructionOnline Company Contact List. New Contacts must be added through the Company Contacts page and cannot be added from the To Do Lists feature. 
  6. Choose the desired Resource(s) from the dropdown menu and click the blue "Save" button when finished. 
    1. The newly assigned Resource(s) will appear within their respective columns in List and Group By Views, and on the To Do Card (depending on Card Layout settings) in Board View

⭐ Resources can also be added and modified inline on the dynamic table in List or Group By Views by locating the Assigned Resource or Related Resource column and clicking into the desired cell. Both the Assigned Resource and Related Resource columns are shown by default on List and Group By View's dynamic tables. ⭐ Depending on your Card Layout settings for Board View, Resources can be added or modified by clicking on any Contact icon.

ADDITIONAL INFORMATION 

  • Working with To Dos that are not assigned to a Project? All Company To Dos can be accessed from Company Overview > Project Tracking > To Do Lists.
  • Permissions: Company Users must have To Do List permissions set as "Can Create, Edit, & Delete" to add Resources to a To Do. 
    • Additionally, any Company User added as an Assigned Resource to a To Do can add and manage that To Do's Resources, despite their To Do Lists permissions. 
  • ClientLink™/TeamLink™ Access: ClientLink and TeamLink Users cannot add or modify To Do Resources.
  • CO™ Mobile App: Company Employees can assign Resources to To Dos via the CO Mobile App.
