Preview, save, download, rename, and/or remove files from your construction tasks with ease
BACKGROUND
ConstructionOnline's cutting-edge To Do Lists software offers construction companies extensive options for recording their construction tasks, including comprehensive details, additional Subtasks, customizable reminders, schedule linkages, and more. One way companies can enhance their task documentation and team communication is by utilizing To Do Attachments, which allow project team members to attach relevant documents, photos, and/or videos to their To Dos for quick and easy access and reference. Once uploaded, users have several convenient management options for their documents including the ability to preview Attachments, save them to their ConstructionOnline™ account, download them onto their current device, rename the file, and/or remove them from the To Do.
PREREQUISITES
- Only existing To Do Attachments can be previewed, saved, downloaded, renamed, rotated, or removed. To learn how to upload an Attachment to a To Do, visit this article.
STEPS TO MANAGE TO DO ATTACHMENTS
- Navigate to the desired Project via the Left Sidebar.
- Select the Project Tracking tab to automatically open the To Do Lists category.
- Within the To Dos pane in List View, locate the desired To Do.
- Right-click on the To Do, and select the "Edit To Do" option.
- Navigate to the Attachments tab and locate the existing Attachment you wish to manage.
- Click the gray three-dot action menu next to the desired Attachment and choose the desired option:
- Preview: Opens a separate modal or window to preview the file
- Save to Project: Saves the Attachment to the current Project or an alternate location—Company Files, My Files, or a different Project/Opportunity
- Download: Directly downloads the Attachment to your device
- Rename: Allows you to rename the file directly within the To Do
- Remove Attachment: Deletes the file from the To Do
- Preview: Opens a separate modal or window to preview the file
- Once you have finalized your actions, click the blue "Save" button.
⭐ Attachments can also be accessed by locating the Attachment column on the dynamic table in List or Group By Views (designated by a📎paper clip icon) and clicking into the desired cell to open the To Do blade extension. The Attachment column is shown by default on List and Group By View's dynamic tables. ⭐ Working in Board View? Attachments can be managed by right-clicking on the desired To Do card, selecting the "Edit To Do" option, and navigating to the Attachments tab. Additionally, if you have your Card Layout and Density settings set to show Attachment thumbnails, you can also access the Preview, Save to Project, Download, Remove, and an additional "Rotate" option, which rotates the thumbnail preview on the card, by right-clicking directly on the Attachment thumbnail preview.
ADDITIONAL INFORMATION
- Working with To Dos that are not assigned to a Project? All Company To Dos can be accessed from Company Overview > Project Tracking > To Do Lists.
- Attachments cannot be added to Subtasks.
- Permissions: ConstructionOnline Company Users must have "Can Create, Edit, & Delete" To Do Lists permissions to be able to manage To Do Attachments.
- Additionally, any Company User added as an Assigned Resource to a To Do can manage its Attachments, despite their To Do Lists permissions.
- ClientLink™/TeamLink™ Access: In addition to global ClientLink/TeamLink permissions for To Do Lists, ClientLink and TeamLink Users must also be added as an Assigned Resource in order to add and manage To Do Attachments.
- CO™ Mobile App: To Do Attachments can be previewed, edited, copied, shared, downloaded and/or deleted via the CO Mobile App.
