Link an Estimate Subcategory to a Change Order

Keep construction project job costs accurate by linking ConstructionOnline™ Change Orders to OnCost™ Estimate Subcategories

BACKGROUND

Whether construction companies chooses to utilize ConstructionOnline's entire integrated financial toolkit, or selectively use the features that meet their specific needs, ConstructionOnline™ is engineered to support each business' unique project management processes.

In instances where companies wish to organize and maintain job costing data across the platform, ConstructionOnline provides intelligent integration options between OnCost Estimates and ConstructionOnline Change Orders. 

While Change Orders are typically linked to Estimate Subcategories during the creation of the Change Order, Company Users have the option to link a Change Order to an Estimate at any time—supporting construction companies' ability to keep their accounting information accurate through whatever process works best for them. 

PREREQUISITES

  • For companies utilizing both OnCost Estimating and Change Orders within ConstructionOnline's integrated financial toolkit, it is recommended best practice to link Change Orders to Estimate Subcategories already populated within the Estimate.

STEPS TO LINK AN ESTIMATE SUBCATEGORY TO A CHANGE ORDER

  1. Navigate to the desired Project via the Left Sidebar.
  2. Select the Financials tab to automatically open the Estimating category.
  3. Locate the desired Subcategory you wish to link a Change Order to within the OnCost Estimate.
    1. Subcategories can be accessed from the Project Totals or Category sheets. 
  4. Right-click on the desired Subcategory and select "Change Orders" from the dropdown menu.
    1. This will automatically open the Change Orders tab within the Subcategory Details window. 
  5. Choose to link any Change Order Item to the Estimate Subcategory by marking the check box ☑️ in the Link column. You may select from Change Order Items already saved within the ConstructionOnline Project, or create new Change Orders directly within the Subcategory Details modal. 
    1. For Detailed Change Orders, click the gray arrow to expand and select from the Change Order's Line Items.
    2. Multiple Change Order Items can be linked to the same Estimate Subcategory—including Items from different Change Orders. 
  6. Once you have selected the Change Order Item(s) you wish to link to the Estimate Subcategory, click the blue "Save" button.

Change Orders can also be linked to Estimate Subcategories directly within the ConstructionOnline Change Orders. For more information regarding linking Change Orders to OnCost Estimate data within the Change Orders feature, click here

ADDITIONAL INFORMATION

  • Change Order Items can be unlinked from Estimate Subcategories by following the same steps, and deselecting the 🔘 circle icon out beside the Subcategory in the 🔗Link column. 
  • Change Orders with any Status can be linked to an Estimate Subcategory, but will only be factored into the Project Total if Approved.  
  • Permissions: ConstructionOnline Company Users must have Estimating permissions set to "Can Create, Edit, & Delete" to link Change Orders to Estimate Subcategories. 
    • ClientLink™ and TeamLink™ Users cannot link an Estimate Subcategory to a Change Order. 
  • Mobile App: Estimate Subcategories can be linked to Change Orders exclusively through browser access to ConstructionOnline.
