Create a Change Order

Generate new cloud-based Change Orders with ConstructionOnline's change order software

BACKGROUND

An integral piece to the industry's leading construction management software, ConstructionOnline's change order management feature helps construction pros protect their bottom line with detailed, documented change orders. 

ConstructionOnline's change order software provides users with the tools to easily create, manage, and invoice construction change orders—ensuring absolute clarity on all changes made to a project's scope of work.

STEPS TO CREATE A CHANGE ORDER

  1. Navigate to the desired Project via the Left Sidebar.
  2. Select the Financials tab and choose the Change Orders category.
  3. From either the Change Orders Overview pane or the Change Order Details plane, click the green (+) Add New Change Order button.
  4. Within the New Change Order window, step through the following tabs to enter Change Order information:
    1. Details: 
      1. Number - This number is automatically generated based on the number of Change Orders already created; however, you can manually change it if needed
      2. G.C. Change Order # - This field can be used for any internal numbering system you or your contractor's may use
      3. Change Order Name - Enter a title that describes the Change Order 
        1. This field is required
      4. Subtitle - Enter a subtitle that is a more detailed description of the Change Order if necessary
      5. Description - Enter any additional details about the Change Order
      6. Item Webpage - Enter the webpage where you will purchase the Change Order Item
      7. Submitted Date - Select the date the Change Order was submitted for Approval
      8. Approval Due Date - Select the Due Date the Change Order must be approved by
        1. This date will have to be edited for a Change Order to be Approved after it's passed
      9. Added Work Days - Enter the additional work days the Change Order will increase the Project completion date by
      10. There are 3 optional dropdown menus: Trade, Type, & Change Reason
        1. These fields can be customized and used in whatever way best works for your team's processes. You can filter by these field's units as well as run reports for each field. 
    2. Price:
      1. Change Order Method -  
        1. Lump Sum Change Order - Use this method if you don't need a detailed break down for the Change Order
        2. Detailed Change Order - Use this method if you want to itemize costs and methods for the Change Order
      2. Change Order Price Calculation - Enter the Price information in the desired fields
    3. Link Change Order to Estimate: Link the new Change Order to an Estimate Subcategory to apply any Costs or Adjustments 
      1. Click the hyperlinked "Link to Estimate" text in the Linked Estimate Subcategory column to select the from the list of available Estimate Subcategories 
      2. Line Items for Detailed Change Orders can be linked to different Estimate Subcategories
    4. Resource(s): Assign the Contacts you wish to give permission to view the Change Order
      1. Resources that populate here are pulled from your ConstructionOnline™ Company Contact List. New Contacts must be added through the Company Contacts page and cannot be added from the New Change Order window. 
      2. All ClientLink™ Users will have access to the Change Order and be able to Approve/Reject it.
    5. Attachments: Upload or drag & drop any Files/Photos pertinent to the Change Order
    6. Status: Set the Change Order Status to "Draft" or "Pending Approval"
      1. "Draft" Change Orders will not be visible in the Portal & cannot be Approved/Rejected
      2. "Pending" Change Orders will be visible in the Portal & are available for Approval/Rejection
  5. Finalize the new Change Order's details by clicking the blue "Save" button. 
    1. The Change Order will automatically populate within the feature.

BEST USE

To experience the benefits of ConstructionOnline's fully-integrated financial software toolkit, we recommend linking Change Orders to your OnCost™ Estimate during or after creation. This will apply any added costs or adjustments to your construction estimate—ensuring accurate financial data across your project.

ADDITIONAL INFORMATION

  • Change Orders can be created from anywhere in the Financials tab by clicking the green [+] New button at the top left corner of the screen and choosing "New Change Order" from the dropdown menu. 
  • Only "Approved" Change Orders will show on the Project's Estimate and be added to the Project Total.
    • "Pending" & "Rejected" Change Orders will show on the Estimate, but will not alter the Project total.
  • Change Orders must be marked as "Approved" in order to create a ConstructionOnline™ Invoice as well as be sent to QuickBooks.

  • Permissions: ConstructionOnline™ Company Users must have Change Orders permissions set to "Can Create, Edit, & Delete" to create new Change Orders. 
    • ClientLink™ Users cannot create new Change Orders; however, depending on their Change Orders permissions, they may be able to "view, approve, and/or reject Pending Change Orders." Additionally, their permissions may be further customized to: 
      • Receive Change Order email notifications 
      • Only show users the Change Orders they're assigned to 
      • Show Ordered/Delivered information for Change Orders 
    • TeamLink™ Users cannot create new Change Orders; however, depending on the Change Orders permissions, they may be able to "view Change Orders they're assigned to." Additionally, their permissions may be further customized so that they can receive Change Order email notifications.
  • Mobile App: New Change Orders can be created through the CO™ Mobile App.
