Share a To Do List

Email a copy of a construction task list to other project team members, clients, or subcontractors


As the industry's leading solution for construction project management, ConstructionOnline™ provides construction pros with powerful tools to create, manage, and share construction task lists. While project team members, subs, or even clients can be as Resources to To Dos––providing them easy access to construction tasks in their respective ConstructionOnline accounts––ConstructionOnline also provides the option to distribute task lists via email. Sharing a To Do List sends an email containing the entire task list to the intended recipient(s), which can be viewed or printed out at a later time. 


  • The intended recipient(s) of the To Do List must be added as Contacts in ConstructionOnline before the To Do List can be shared via email. More information on the different types of ConstructionOnline Contacts can be found in the Essential Guide to Contacts.


  1. Navigate to the desired Project via the Left Sidebar.
  2. Select the Project Tracking tab to automatically open the To Do Lists category.
  3. Within any View, locate the gray three-dot action menu at the top right-hand corner of the To Dos pane. 
  4. Click the gray three-dot action menu and choose the "Share To Dos" option.
  5. Within the "Share To Dos" window, choose from the following details to customize how the To Do List is sent: 
    1. Recipients: Select which ConstructionOnline User(s) you would like to send the To Do List to.
      1. This is a required field. 
      2. Contacts that populate here are pulled from your ConstructionOnline Company Contact List. New Contacts must be added through the Company Contacts page and cannot be added from the To Do Lists feature. 
    2. Select Project: When working within a Project or Project Template, the current Project or Template will be assigned by default and cannot be changed. 
      1. If working within Company To Dos, you may choose to share To Dos from All Projects (the default option), Company To Dos, or choose a Project To Do List from the dropdown menu. 
    3. Filter the To Dos by a Resource (optional): Choose which ConstructionOnline User you would like to filter the To Do List by from the Resource dropdown menu.
      1. Only one Resource may be selected. 
    4. Options: Choose from other customization options by selecting or deselecting the ☑️ check mark beside the corresponding option. Options include:

      ☑️ Include Completed To Dos 
      ⬜ Order To Dos by Due Date
  6. Click the blue "Send" button to deliver the To Do List to the selected recipients. 
    1. A pop-up message will appear, notifying you that the email(s) have been successfully sent. 



  • Working with To Dos that are not assigned to a Project? All Company To Dos can be accessed from Company Overview > Project Tracking > To Do Lists.
  • Only one To Do List can be shared at a time.
  • Permissions: ConstructionOnline Company Users with "Can View" or "Can Create, Edit, & Delete" To Do Lists permissions can share To Do Lists. 
  • ClientLink™/TeamLink™ Access: In addition to global ClientLink/TeamLink permissions, ClientLink and TeamLink Users must be added as an Assigned or Related Resource to share To Dos.
    • However, please note, ClientLink and TeamLink Users may only share To Do Lists with other ConstructionOnline Users they have permission to see within the Portal, and they will only be able to share To Dos they are a Resource on.
  • CO™ Mobile App: To Do Lists can be shared exclusively through browser access to ConstructionOnline.
    • To Do Lists cannot be shared via the CO Mobile App.
