What is the difference between a Checklist and a Punch List?

A construction checklist is an organization tool used to compile & track a list of tasks for a construction job. Checklists can be created for tasks & sub-tasks related to general safety, pre-work, equipment, quality, and other project-related processes; checklists can also be created and implemented during any phase of construction, like pre-construction or site work. 

Construction punch lists are most commonly created near the end of the project as the construction project prepares to hand over the project to the client or owner. Often, punch lists are utilized during the close-out stage of construction for final walkthroughs and touch-ups. However, punch lists can also be used at key project milestones for regular inspections or quality assurance.

Implementing a system of pre-defined checklists and punch lists can help define and standardize common construction management processes while maintaining a high level of quality and efficiency across your projects. 

Can I add sub-tasks to my Checklist?

Yes, you can add sub-tasks to a Checklist in ConstructionOnline! Sub-tasks are known as Item Issues in ConstructionOnline, while primary tasks are called Items. Each Item of a Checklist may contain an unlimited number of Item Issues—allowing you to break down a complex task into smaller, secondary tasks. Each Item Issue may contain its own description, responsible resource(s), priority, status, trade, due date, completion percentage, and relevant cost code.

Can I sign a Checklist once it is completed?

Yes! Once a Checklist has been completed, you can sign the Checklist directly in ConstructionOnline with an electronic signature! If you prefer to sign a paper copy of a Checklist, you can also print out a version with blank signature lines.

How do I share a Checklist with my subcontractors?

To share an entire Checklist with a subcontractor via the Project Portal, you can add them as a Checklist Editor or Viewer to the Checklist. Checklist Viewers can view all the items in a Checklist, but cannot edit any items without being added as an Assigned Resource. Checklist Editors can view and edit every item on the Checklist, in addition to being able to edit the Checklist themselves.

If you only need to share specific Checklist Items with a subcontractor, you can add them as an Assigned Resource to each individual Item. When a subcontractor logs in to their Project Portal, they will only be able to view and edit the specific Checklist Item(s).

Please note that your company's global TeamLink permissions for Checklists must also be enabled for subcontractors to view and/or edit a Checklist in the Project Portal.

However, if a subcontractor does not have a ConstructionOnline account or would prefer a to view and/or print out a paper copy of a Checklist, you can also email them a copy of the Checklist.

Can I hide a Checklist from clients?

Yes! By default, all Checklists are hidden from clients (ClientLink Users) in the Project Portal—even if your company's global ClientLink permissions for Checklists have been enabled. Clients are only able to view entire Checklists if they have been added as a Checklist Editor or Viewer to the Checklist. 

What is the difference between an Assigned Resource and a Related Resource?

Each Checklist Item in ConstructionOnline can be assigned an unlimited number of Related and/or Assigned Resources. Assigned Resources are able to view and edit a specific Checklist Item and its issues. Related Resources are only able view a specific Checklist Item and its issues.

If one of your users needs to be able to view and edit an entire Checklist, add them as a Checklist Editor to the Checklist instead of adding them as Assigned Resources to individual items. Checklist Editors can view and edit the entire Checklist.  

Can we create Checklist templates?

No, you cannot create Checklist templates in ConstructionOnline. However, you can speed up the process of creating new Checklists by duplicating an existing Checklist and moving it to a new Project. Additionally, you can also build out a detailed Checklist structure in a Project Template to streamline future construction projects.
