Add an Item to a Checklist

To support the high level of detail needed to manage construction projects from start to finish, ConstructionOnline™ Checklists are engineered to store all of the comprehensive data related to general task lists predefined by whatever classification, specification, phase, or grouping works best for your company. 

ConstructionOnline™ Users can build out the specifics of their Checklists through Items which can include details such as Due Date, Priority, Status, Percent Complete, Cost Impact, Resources, Attachments, and more.

  • A Checklist must be created before Checklist Items can be added. 


  1. Navigate to the desired Project via the Left Sidebar.
  2. Select the Project Tracking tab and choose the Checklists category.
  3. Click on the existing Checklist you wish to add a new Item to.
    1. If the Checklist is stored within a Folder, drill down to the specific Punch List by clicking on & opening the relevant Folder(s). 
  4. Within the Checklist click the green (+) Add New Item button.
  5. Step through the New Checklist Item window to populate the new Checklist Item information, including:  
    1. Details 
      1. Item Name/Description: *Required
      2. Item Creator: This field selects the current user by default and is not editable
      3. Item Number: Assign a numerical value to the Checklist Item
        1. ConstructionOnline™ automatically assigns the next subsequent numerical value to new Checklist Items (i.e. if there are two existing Items within the Checklist, the new Checklist Item will be assigned the the number "3" unless otherwise modified).
        2. A unique number is required to create a Checklist Item (i.e. the new Item cannot be assigned the numerical value of an existing Checklist Item).
      4. Room/Location: The room, building, or other identifying location relevant to the Checklist Item at hand (i.e. Kitchen, Primary Bathroom, 10th Floor, Building 6, etc.)  
      5. Percent Complete: Enter the percentage of work associated with the Checklist Item that has been completed
        1. Mark the check box next to ☑️Mark as Complete if the Item has been completed 
      6. Due Date: The date by which the Checklist Item must be completed
      7. Priority: Assign one of the following priority levels to the Checklist Item  
        1. None
        2. Low
        3. Medium
        4. High 
      8. Status: Set the Status of the Checklist Item 
        1. This field can be customized.
      9. Trade: Select a Trade to attach to the Checklist Item 
        1. This field can be customized. 
      10. Cost Code: Choose the desired Cost Code for the Checklist Item from the dropdown menu 
        1. Cost Codes must be assigned to the Project to populate here.
      11. Cost Impact: Enter the estimated dollar value impacted by the Checklist Item, if applicable
        1. Mark the check box next to ☑️To Be Determined if Cost Impact has not been calculated yet 
      12. Assigned Resource(s): Select the Company Contact(s) you wish to give permission to view and edit this Checklist Item and its respective Issues 
      13. Related Resource(s): Select the Company Contact(s) you wish to give permission to view and edit this Checklist Item IF they are assigned as a Punch List Editor
      14. Item Notes: Any additional Notes about the Checklist Item 
    2. Item Issues: Add, edit, and/or delete Item Issues within this tab
    3. Attachments: Add & manage any additional attachments relevant to the Checklist Item within this tab 
  6. Finalize the details of the new Checklist Item by clicking the blue "Create" button. The new Item will populate within its respective Checklist automatically.

  • Permissions: ConstructionOnline™ Company Users must have Checklists permissions set to "Can Create, Edit, & Delete" to create new Checklist Items. 
    • ClientLink™ and TeamLink™ Users with Checklists permissions enabled can:
      • See lists they're assigned a Viewer on
      • Make changes to lists they're assigned an Editor on
      • Make changes to list Items they're an Assigned Resource on
  • Mobile App: New Checklist Items can be created from the CO™ Mobile App.
