Attach Files to a Change Order

Add & store important documentation with Change Orders in ConstructionOnline™

BACKGROUND

ConstructionOnline's change order management software provides construction companies with integrated tools that support the creation and management of detailed, cloud-based change orders.

With the option to add files to change orders, ConstructionOnline™ Company Users can attach important documents or photos alongside individual change orders—improving the overall visibility and documentation of project financials.

VIDEO WALKTHROUGH 

STEPS TO ATTACH FILES TO A CHANGE ORDER

  1. Navigate to the desired Project via the Left Sidebar.
  2. Select the Financials tab and choose the Change Orders category.
  3. Click anywhere on the Change Order you wish to attach a file to in order to open the Change Order Details window.  
  4. Within the Change Order Details window, select the Attachments tab.
  5. Click the green (+) Add New Attachment button.
  6. Within the Upload File(s) window, choose how you would like to upload your attachments:
    1. Upload from Your Computer: Upload files from your current device.
    2. Upload from ConstructionOnline: Select files from any of your ConstructionOnline™ Project & Opportunity Files at both the Company and Account level.
    3. Upload from Your Cloud File Storage: Choose files or folders from your cloud storage to upload into ConstructionOnline™.
      1. If you have integrated your preferred cloud storage with ConstructionOnline™, the available files will appear within the respective cloud storage option.
      2. If you have not integrated your preferred cloud storage to ConstructionOnline™, select the hyperlinked "Click here" text within your preferred cloud storage option to allow ConstructionOnline™ to access your cloud storage contents. ConstructionOnline™ supports Cloud File Integration with: 
        1. Google Drive
        2. OneDrive
        3. Dropbox 
        4. Box 
      3. ConstructionOnline™ also supports an integration with Google Maps, allowing you to search for a location via the Google Maps Scanner and create an image file of the map or satellite view. 
    4. Click and Drag File(s): Drag & drop files into the window for upload.
  7. If the ☑️ Close when upload is complete option is selected in the bottom left hand corner of the screen, the Upload File(s) window will close upon successful upload of the file(s). 
    1. The ☑️ Close when upload is complete option is selected by default. 
    2. If this option has been deselected, the Upload File(s) window will show an "Upload Complete!" message upon successful upload of the file(s). Click the Close button to exit the Upload File(s) window. 
  8. The uploaded file(s) will now appear under the Attachments tab. Click the blue "Save" button to save Change Order Details OR click the "Save & Notify" button to finalize Change Order Details and send email notifications.

ADDITIONAL INFORMATION 

  • Attachments can be added to Change Orders with any Status: Pending, Approved, and/or Rejected. 
  • Most common file types may be uploaded as an attachment to a Change Order, including PDF, DOC, JPG, and PNG files. 
    • Please note that if an HEIC file is uploaded as an attachment, ConstructionOnline™ will automatically convert the file to a JPG.
  • Several additional actions for uploaded attachments are available from the Attachments tab of the Change Order Details window. Click the grey three dot action menu next to the desired attachment to find options to:
    • Preview: Opens a separate window to preview the attachment
    • Save to Project: Saves the attachment to the current Project or to an alternate location—Company Files, My Files, or a different Project/Opportunity
    • Download: Directly downloads the attachment to your device
    • Remove Attachment: Deletes the attachment from the Change Order
  • Permissions: ConstructionOnline™ Company Users must have Change Orders permissions set to "Can Create, Edit, & Delete" to attach files to Change Orders. 
    • ClientLink™ Users cannot attach files to Change Orders; however, depending on their Change Orders permissions, they may be able to "view, approve, and/or reject Pending Change Orders" - which includes Change Order Attachments. Additionally, their permissions may be further customized to: 
      • Receive Change Order email notifications 
      • Only show users the Change Orders they're assigned to 
      • Show Ordered/Delivered information for Change Orders 
    • TeamLink™ Users cannot attach files to Change Orders; however, depending on the Change Orders permissions, they may be able to "view Change Orders they're assigned to" - which includes the Change Order's Attachments. Additionally, their permissions may be further customized so that they can receive Change Order email notifications.
  • Mobile App: Files can be attached to Change Orders from the CO™ Mobile App.
