What are Inbound Emails in ConstructionOnline? 

ConstructionOnline's Inbound Email tool provides each of your Projects in ConstructionOnline with a dedicated email address you can use to receive external emails straight into ConstructionOnline. By managing external emails and documents with your ConstructionOnline Inbound Email, you'll be able to have organized, searchable, and filterable historical records of your project correspondence safely stored in one place, not buried amongst other emails and documents. Additionally, you can control inbound access by designating approved senders and setting permissions for your employees.

Who can access Inbound Emails? 

The Inbound Email feature is available for all ConstructionOnline subscription levels. All Company Admin Users can access and manage their Projects' Inbound Emails. Company Employees must have "Can View" Inbound Email permissions in order to view emails received in ConstructionOnline, or "Can Create, Edit, & Delete" permissions in order to manage their Projects' Inbound Email inbox. 

When should I use Inbound Emails vs. other ConstructionOnline Communication tools? 

ConstructionOnline's Inbound Email tool was designed to give you the ability to manage any external emails and documents so that you have have an organized, searchable, and filterable historical record of your project correspondence safely stored within ConstructionOnline. The Inbound Email inbox is unique in comparison to ConstructionOnline's other communication tools in that it is not meant to be a two-way street. The purpose of it is to streamline any external conversations from your siloed and cluttered email inbox(es) into ConstructionOnline so that it is centralized with all of your project conversations.

What are the differences between Messages, Announcements, Inbound Emails, and Envoy™ Chat in ConstructionOnline? 

ConstructionOnline provides several different communication tools you can use to disseminate and discuss critical project information with your project team:

📨 Messages: ConstructionOnline Project Messages were designed to eliminate the frustrations that come with using your email inbox or text messages to conduct communication about your projects. With ConstructionOnline Messages, you can organize conversations—which are limited to your ConstructionOnline Contacts only—based on the Project they are relevant to so that you don't have to worry about keeping files sorted in a drawer, reading page after page of emails to find one thread, or searching through your phone for certain conversations. ConstructionOnline keeps all project discussions in one place so they can be easily referenced with intuitive search and filter options.

🔊 Announcements: ConstructionOnline Announcements make it easy to ensure your team is always up to speed by allowing you to share important information with your entire team. Think of Announcements like an online sticky-note—a way for you to post critical information company-wide or for a specific Project that your team can view, but not respond to.

📫 Inbound Emails: ConstructionOnline's Inbound Email tool provides each of your Projects in ConstructionOnline with a dedicated email address you can use to receive external emails straight into ConstructionOnline. By managing external emails and documents with your ConstructionOnline Inbound Email, you'll be able to have organized, searchable, and filterable historical records of your project correspondence safely stored in one place, not buried amongst other emails and documents. Additionally, you can control inbound access by designating approved senders and setting permissions for your employees—eliminating junk mail and ensuring nothing falls through the cracks. 

💬 Envoy™ Chat: ConstructionOnline's Envoy Chat tool is an internal chat tool that allows your team to instantly send messages, attach files, and keep accurate records of communication all within ConstructionOnline. You can easily send messages to your team members individually or as a group through both browser access to ConstructionOnline and the CO™ Mobile App. Additionally, you can send direct links to ConstructionOnline features so that your team can maintain clear communication and easy access to your project information. 

Who can send emails to the Inbound Email address? 

All Company Admin Users and Company Employees who are a part of the Project Team can send emails to a Project's Inbound Email address. These users are automatically added to the list of Approved Inbound Senders alongside any email address(es) associated with their Contact in ConstructionOnline. 

Additional users cannot be added to the list of Approved Inbound Senders; however, the email address(es) associated with any Approved Sender can be updated by following the instructions listed in this article.

Can I limit the users that can send to my Inbound Email address? 

Yes! All Company Users associated with the Project are added to the Project's Inbound Email list of Approved Inbound Senders by default. If you wish to limit a user's ability to send emails to a Project's Inbound Email, visit the Removing an Approved Email Address article and follow the steps listed. After the user's email address(es) has been removed, the user's name will still appear on the list of Approved Inbound Senders, but they will not be able to send emails to the Inbound Email inbox. 

Can I increase the users that can send to my Inbound Email address? 

There is no way to add additional users to the list of Approved Inbound Senders list; however, each Approved Sender can have multiple associated emails. Additionally, once an email is received in your Inbound Email inbox, you can easily resend it to other Company Users.

Can you set multiple emails for one user with Inbound Emails? 

Yes! Multiple email addresses can be associated with one user on the Approved Inbound Senders list. Instructions for adding a new approved email address to your Approved Inbound Senders list can be found here

Can I change the Inbound Email address?

No. Inbound Email addresses cannot be changed. 

How can I make sure all my emails go to Inbound Emails?

This varies depending on the email platform you are using: 

  • If using Gmail, visit this resource to learn how to automatically forward your emails to your Inbound Email inbox.
  • If using Outlook, visit this resource to lead how to turn on automatic forwarding to your Inbound Email address. 
  • If using Yahoo, visit this resource to enable automatic email forwarding. 

Will Inbound Emails include attachments? 

Yes! Any attachments included with emails sent to your Inbound Email inbox can be previewed, downloaded to your device, or saved to ConstructionOnline.

Do Inbound Emails integrate with Gmail or Outlook?

Yes, ConstructionOnline's Inbound Email tool is compatible with any email platform. 

Can I use Inbound Emails in Opportunities? 

No. The Inbound Email feature is exclusively available for ConstructionOnline Projects. 

You can, however, send Messages within Opportunities as well as store files, photos, albums, and folders
