      Export a Project Schedule to Google Calendar or Outlook Calendar

      Send a Project's Schedule Tasks from ConstructionOnline to your external personal calendars

      BACKGROUND

      ConstructionOnline’s OnPlan™ Scheduling provides powerful tools for creating and managing detailed Project Schedules. To support comprehensive time management across platforms, ConstructionOnline allows Company Users to export OnPlan Project Schedules to external personal calendars, such as Google Calendar or Outlook Calendar. Exporting Schedule Tasks integrates project timelines directly into connected calendar systems, promoting proactive scheduling and improved visibility of ongoing project activity.

      THINGS TO CONSIDER

      • Exporting a Project Schedule does not send the Project's Calendar Events to Google or Outlook Calendars.
        • To integrate Project Calendar Events with these external personal calendars, Company Users will need to configure Calendar Integration Settings separately.
      • A separate calendar is created in Google or Outlook for each exported Project Schedule, labeled according to the Project Name in ConstructionOnline.
      • Schedule Tasks can only be pushed to Google and/or Outlook calendars from ConstructionOnline; they cannot be imported into ConstructionOnline from these external accounts. 

      ⚠️ Important: Due to limitations imposed by Google and Microsoft respectively, exported Project Schedule Tasks do not automatically update within external personal calendars. Exporting a Project Schedule only includes the task data available at the time of export. 

      To update Schedule Tasks in integrated Google and/or Outlook Calendars, export data accordingly.

      HOW TO EXPORT A PROJECT SCHEDULE TO GOOGLE OR OUTLOOK CALENDARS

      1. Navigate to the desired Project.
      2. Click on the Feature Selector in the Top Navigation Bar. 
        1. If you have chosen to have the Schedule feature appear as a Project Quick Link, you may also access OnPlan Scheduling from the Project Overview tab. 
      3. Under Calendars & Schedules, select Scheduling.

      4. In the Schedule Gantt Progress pane, click the gray 3-dot Action Menu in the upper-right corner. Gray 3-dot Action Menu in ConstructionOnline

      5. Hover over "Export Schedule" in the dropdown menu. 
      6. Choose "Export to Google Calendars" or "Export to Outlook Calendars."

        1. If your ConstructionOnline account isn't currently connected to the desired cloud application, a message will appear prompting you to manage your Cloud Integrations before proceeding.

      ADDITIONAL INFORMATION

      • Subscription Level: ConstructionOnline's Cloud Integrations are available for all active ConstructionOnline subscriptions. 
      • CO™ Mobile App: Cloud Integration features are exclusively available via browser access to ConstructionOnline.
