Create a New Meeting from a Template

Increase the efficiency and accuracy of scheduling meetings by utilizing custom meeting templates in ConstructionOnline™

BACKGROUND 

In the fast-paced world of construction, time is a critical resource—and consistent communication is key to project success. While meetings play a vital role in aligning teams, building each one from scratch can be time-consuming and error-prone.

ConstructionOnline's Meeting Templates eliminate this bottleneck. By allowing users to generate new meetings from pre-configured templates, the platform ensures that every discussion starts with the right structure. Teams save time, reduce repetitive data entry, and maintain consistency across all meeting documentation.  

⚠️ Important: To create a meeting from a template, your Company Account must first have at least one Meeting Template saved.

HOW TO CREATE A MEETING FROM A TEMPLATE 

  1. Access the "Company Overview" tab through the Left Sidebar or the Company Selector in the Top Navigation Bar. 
    1. If you're creating the meeting from within a Project, use the Feature Selector to access that Project's Meetings. 
  2. Select Meetings under the Meeting Minutes section. 
  3. Click the green (+) Add a New Meeting... button and choose the "from Template" option from the dropdown menu.

    1. This will open the "Choose Meeting Template" extension blade on the right side of your screen. 
  4. From the list of saved Meeting Templates, choose which one you would like to use to create the new meeting.

    1. If a Meeting Template has not yet been created and saved in your company's ConstructionOnline account, a message will flash in the bottom right corner of your screen.

  5. Hit the blue "Next" button to open the "Create Meeting From Template" extension blade on the right side of your screen.
  6. Review the details, automatically populated from the selected Meeting Template, and update or add any information needed for the new meeting.
    1. The following fields cannot be saved to a Meeting Template and will need to be added to the meeting manually: 
      1. Related Project: Link the meeting to a specific Project.  
        1. If created at the Project-level, this field will automatically populate and cannot be modified.  
      2. Start Date: Select the date the meeting will begin. 
      3. Start Time: Select the exact time the meeting will begin. 
      4. End Time: Specify the exact time the meeting will conclude. 
        1. The "End Time" cannot be earlier than the "Start Time," for meetings that Start and End on the same date.
      5. End Date: If the meeting spans multiple days, enter the end date here. 
        1. By default, ConstructionOnline automatically populates the end date to match the start date. 
      6. All Day: Check this box if the meeting lasts for the entire day and doesn't have a designated start or end time.  
      7. Repeat Meeting: Enable if the meeting is to recur on a regular schedule (e.g., Daily, Weekly, Monthly). 
  7. After finalizing all of the Meeting Details, select the blue "Save" button to create the new meeting and close the meeting creation blade. 

ADDITIONAL INFORMATION 

  • You can see information regarding this activity logged in the Company History Log, where ConstructionOnline records that a meeting was created, the user who created the meeting, and the date and time of creation.

  • Subscription Level: Meeting Minutes is available for companies with active ConstructionOnline Commercial or Multi-Family subscriptions at the Team, Business, and Enterprise level. 
    • Meeting Minutes is also available as a Per-Company Add-On for all other subscription plans. 
  • Permissions: Admin Users and Company Users with "Can Create, Edit, and Delete" for Meeting Minutes can create meetings from Meeting Templates. 
  • CO™ Mobile App: Currently, the Meeting Minutes feature is exclusively available through browser access to ConstructionOnline.
