Build a Meeting Template within ConstructionOnline™
BACKGROUND
In construction, efficiency and consistency are key—especially when managing ongoing project communications. Manually setting up recurring meetings with similar agendas can consume valuable time and lead to inconsistencies across discussions and projects.
ConstructionOnline solves these challenges with Meeting Templates which eliminate repetitive setup processes by allowing users to preconfigure common meeting details—like agendas, attendees, and reminders. With templates, teams can create standardized, professional meeting records in seconds, improving accountability, saving time, and ensuring alignment across all projects.
THINGS TO CONSIDER
- Meeting Templates are created and managed at the Company level, meaning any Company User with "Can View" or "Can Create, Edit, and Delete" permissions for Meeting Minutes can access and use these templates.
- Within ConstructionOnline, any field that shows the gear icon
is a Custom Value, allowing users to add, edit, or remove values. These fields can be customized by clicking on the icon.
HOW TO CREATE A MEETING TEMPLATE FROM SCRATCH
- Access the "Company Overview" tab through the Left Sidebar or the Company Selector in the Top Navigation Bar.
- Under the Meeting Minutes section, select Meeting Templates.
- Click the green (+) Add a New Template button.
- This will open the "Create Meeting Template" extension blade on the right side of the screen, where you can configure meeting details that will populate future meetings created from the template, including:
- Meeting Name, Overview, and Tags
- Meeting Type, Status, and Color
- Attendees
- Agenda Categories and Items
- Attachment

- Once all desired meeting information is entered, hit the blue "Save" button to create the Meeting Template.
⚠️ Important: Meeting Templates do not send notifications or reminders. These actions are only triggered when a new meeting is created using the saved meeting template.
ADDITIONAL INFORMATION
- Subscription Level: Meeting Minutes is available for companies with current ConstructionOnline Commercial or Multi-Family subscriptions at Team, Business, and Enterprise levels.
- Meeting Minutes is also available as a Per-Company Add-On for all other plans.
- Permissions: Admin Users and Company Users with "Can Create, Edit, and Delete" for Meeting Minutes can create Meeting Templates.
- CO™ Mobile App: Currently, the Meeting Minutes feature is exclusively available through browser access to ConstructionOnline.
