Connect your HubSpot account to ConstructionOnline™ for streamlined lead management
BACKGROUND
In construction, sales and project management are often managed in separate systems, creating silos between business development and project execution. Teams capture leads in one platform, while managing estimates, bids, and jobs in another. This separation leads to duplicate data entry, communication gaps, and missed opportunities that slow down growth and complicate potential client relationships.
ConstructionOnline's integration with HubSpot bridges this gap by connecting CRM and project management workflows. Contacts can be sent automatically or manually between both platforms, ensuring information stays up to date. Whether a lead originates in HubSpot or in ConstructionOnline, data is synced accurately across platforms. By reducing administrative roadblocks and keeping lead details consistent, the integration accelerates sales cycles, strengthens collaboration, and provides a single source of truth for every interaction.

THINGS TO CONSIDER
- The HubSpot Integration is managed at the Company Account level—connection status and integration settings apply company-wide to all users.
- In order to successfully sync leads between ConstructionOnline + HubSpot, each Lead Contact must include the following required fields:
- First Name
- Last Name
- Email Address
HOW TO INTEGRATE WITH HUBSPOT
- Navigate to the Account Settings Menu in the top navigation bar.
- Select the Integrations option under Account Settings.
- This will open the Integrations tab in your Profile Settings.

- Under the Sales & CRM section, enable the HubSpot integration.
- Enter your HubSpot account credentials or create a new HubSpot account.
- HubSpot allows for a single set of credentials to be connected to 1 or more accounts. If your credentials are (or have ever been) associated with multiple HubSpot accounts, you may be prompted to confirm which account you would like to use for the integration with ConstructionOnline.

- Authorize ConstructionOnline to access your HubSpot account.
- After entering your HubSpot credentials (and selecting the desired account), you will need to grant ConstructionOnline permission to access your HubSpot account.
🗒️Note: You may see a message noting that the app has not yet been reviewed or approved by HubSpot. This notice is temporary while ConstructionOnline completes HubSpot's official app approval process, which requires a minimum number of active users be engaged with the integration. ConstructionOnline is a trusted, established provider, and the integration is fully secure. - Click the orange "Connect app" button to continue.
- Selecting the "Cancel" option here will halt the integration setup and prevent your ConstructionOnline + HubSpot accounts from connecting.
- After entering your HubSpot credentials (and selecting the desired account), you will need to grant ConstructionOnline permission to access your HubSpot account.
- Once confirmed, the "HubSpot Integration Setup" window will open, where you can configure how HubSpot + ConstructionOnline will interact, including -
- Integration Settings:
- Allow ConstructionOnline Leads to be created from HubSpot Contacts: When enabled, any HubSpot contacts assigned to the selected Lead Status will automatically create and/or update a corresponding Lead in ConstructionOnline.
>>> Use the "HubSpot Contact Lead Status Trigger" dropdown to select which Lead Status in HubSpot will trigger the sync. - Allow HubSpot Contacts to be created from ConstructionOnline Leads: When enabled, any ConstructionOnline Lead assigned to the selected Lead Stage will automatically create or update a corresponding Contact in HubSpot.
>>> Use the "ConstructionOnline Lead Stage Trigger" dropdown to select which Lead Stage in ConstructionOnline will trigger the sync.
🗒️ Note: You can enable the integration without selecting automatic sync options. This allows for manual syncing based on a selected Lead Status and/or Stage at your discretion, giving you full control over how data is transferred between platforms.
- Allow ConstructionOnline Leads to be created from HubSpot Contacts: When enabled, any HubSpot contacts assigned to the selected Lead Status will automatically create and/or update a corresponding Lead in ConstructionOnline.

- Apply Settings to existing records:
After configuring integration preferences, you can optionally apply the selected triggers to all existing Lead and Contacts in both platforms. ConstructionOnline will display how many Contacts exist with the corresponding triggers before processing, and transfer if the option is activated.
🗒️Note: If you've chosen a one-way (unidirectional) sync, the other will be greyed out and unavailable.

- Select the blue "Save" button to finalize the integration settings.
- A confirmation message will appear, indicating that your ConstructionOnline + HubSpot integration has been successfully enabled.
- Click the blue "Click here to close this window" text to close the integration setup.
- Hit the blue "Save" button on the Integrations tab in your Profile Settings to complete the integration.
- The HubSpot integration can be disabled at any time by toggling the integration off from the Integrations tab in your Profile Settings.
- The Integration Settings can be modified at any time by clicking the "HubSpot Integration Settings" button.
ADDITIONAL INFORMATION
- Once you've connected your accounts, you can also modify your HubSpot Integration Settings by selecting the gray 3-dot Action Menu in the Leads table.
- Subscription Level: The HubSpot Integration is available for ConstructionOnline accounts with active Team, Business, and Enterprise subscriptions.
- CO™ Mobile App: HubSpot Integration is currently available exclusively via browser access to ConstructionOnline.
