Enable custom reminders for construction permits in ConstructionOnline™
BACKGROUND
Permit reminders in ConstructionOnline offer significant benefits, helping users to streamline the permit tracking process. Setting automated reminders for events such as permit expirations and upcoming renewal dates allows companies to manage permit obligations proactively, ensuring timely renewals and continued compliance. This also keeps the team informed about the status of their permits, minimizing the risk of costly delays, fines, and project shutdowns.
BEST PRACTICE RECOMMENDATION
To streamline the creation of reminders for individual permits in ConstructionOnline, we recommend that you complete the initial setup of permit reminders within the company's Permit Settings.
⚠️ Important: Reminders will only send for "Active" permits with future expiration dates.
HOW TO CREATE REMINDERS FOR PERMITS
A. During Permit Creation:
- Reminders for individual permits can be set up during the permit creation process.
- If you've configured default reminders in Permit Settings for all permits, these will be automatically applied but can be adjusted as needed at this point.
- Once within the "Add New Permit" extension blade that opens on the right side of your screen, navigate to the "Reminder Recipients" tab.
- From here, you can set up reminders for -
- Internal Recipients: Company Users in your ConstructionOnline account.
- For all permits
- For the specific permit being created
- External Recipients: Any Contacts within your ConstructionOnline account.
- For the specific permit being created
Note: The automated email reminders being sent to the chosen recipients are those that have been configured within your Permit Settings. You can modify these reminders by clicking the blue "your reminder settings" text.
- For the specific permit being created
- Internal Recipients: Company Users in your ConstructionOnline account.
- Set the reminders by clicking the blue "Save" button.
B. From within an Existing Permit:
- Access the "Company Overview" tab through the Left Sidebar or the Company Selector in the Top Navigation Bar.
- Under the "Company" section, select "Permit Tracking."
- This will open your "Project Permits" List.
- Hover over the desired permit and either press the blue "Details >" button or right-click and select "Edit."
- Follow Steps 2-4 from the section above.
ADDITIONAL INFORMATION
- Subscription Level: ConstructionOnline's OnGuard Permit Tracking feature is available for companies with current ConstructionOnline subscriptions at Team, Business, and Enterprise levels.
- Permit Tracking is also available as a Per-Company Add-On for all other plans.
- Permissions: Admin Users and Company Users with "Can Create, Edit, & Delete" Permit permissions are able to create reminders for permits.
- CO™ Mobile App: The Permit Tracking feature is available via the mobile app. However, setting Reminders for permits is exclusively available through browser access to ConstructionOnline.
