Enter a construction permit in ConstructionOnline™
BACKGROUND
In the high-stakes construction industry, where legal and financial risks loom large, meticulous permit tracking isn’t just a good practice - it’s indispensable. Failure to diligently track permits can rapidly transform seemingly minor errors in project workflow into significant financial and legal burdens. ConstructionOnline’s OnGuard™ Permit Tracking helps protect your business by empowering you to proactively mitigate risks by staying ahead of permit deadlines, ensuring compliance, and preventing costly delays and fines.

HOW TO ADD A NEW PERMIT
- Access the "Company Overview" tab through the Left Sidebar or the Company Selector in the Top Navigation Bar.
- Under the "Company" section, select "Permit Tracking."
- This will open your "Project Permits" List.
- Click the green (+) Add New Permit button.
- The "Add New Permit" extension blade will open on the right side of your screen, where you can enter the permit's information, including -
- Details: General information about the permit.
- Project / Opportunity: Choose a specific Project, Template, or Opportunity to link the permit to.
- Associating a permit with a Project Template automates the addition of that permit to the "Project Permits" List whenever a new Project is created using that Template.
- Permit Name: Give the permit a name. This field is required.
- Make This Permit Active?: Utilize the toggle to set the permit as "Active" or "Inactive."
- New permits in ConstructionOnline are set to "Active" by default, indicating they are in effect. You may change a permit to "Inactive" during creation, for example, if the permit is pending issuance or being documented retrospectively.
- Permit Number: Assign the permit a number for organizational purposes.
- Permit Status: Select the current status of the permit (e.g., "Pending," "Approved," "Expired").
- Permit Type: Select the type of permit (e.g., "HVAC," "Plumbing," "Electrical").
- Date Requested: Specify the date that the permit was requested from the appropriate enforcing agency.
- Date Issued: Specify the date that the permit was issued.
- Expiration Date: Enter the permit's expiration date.
- Issuing Agency: Indicate the agency that issued the permit.
- Agency Contact: Provide contact information for the issuing agency.
- Responsible Contact: Assign a Contact responsible for managing the permit.
- Tags: Assign any predefined keywords or labels to the permit.
- By using Tags in ConstructionOnline, you can easily sort and track information within the system.
- Project / Opportunity: Choose a specific Project, Template, or Opportunity to link the permit to.
- Attachments: Upload any files and/or photos pertinent to the permit.
- Notes: Add any relevant notes, including optional Time Stamps.
- Reminder Recipients: Set up Reminders for the permit.
- Internal Recipients: Company Users in your ConstructionOnline account.
- For all permits
- For the specific permit being created
- External Recipients: Any Contacts within your ConstructionOnline account.
- For the specific permit being created
Note: You can modify the Email Templates and Automated Reminders configured within your Permit Settings by clicking the blue "your reminder settings" text.
- For the specific permit being created
- Internal Recipients: Company Users in your ConstructionOnline account.
- Details: General information about the permit.
- Click the blue "Save" button to add the new permit.
- Once saved, the permit will appear in the "Project Permits" List as part of the dynamic table.
ALTERNATIVE ACCESS POINT
- Navigate to the desired Project.
- Using the Feature Selector, locate and select the blue "Project Actions" text.
- You may also access this list of actions by clicking on the grey 3 dot Action Menu located next to the feature selector.
- Choose "Edit Project Details" from the dropdown menu to open the "Project Details" window.
- Click on the "Permits" tab.
- Follow Steps 3 - 5 from the section above.
ADDITIONAL INFORMATION
- Subscription Level: ConstructionOnline's OnGuard Permit Tracking feature is available for companies with current ConstructionOnline subscriptions at Team, Business, and Enterprise levels.
- Permit Tracking is also available as a Per-Company Add-On for all other plans.
- Permissions: Admin Users and Company Users with "Can Create, Edit, & Delete" permissions for Permits can add new permits.
- Company Users with their permissions set to "Can View" can see all permits, regardless of whether the permit is set to "Active" or "Inactive."
- CO™ Mobile App: Users with the appropriate permissions can add new permits to their Company Account via the ConstructionOnline Mobile App.
