BACKGROUND

Construction projects involve a wide range of stakeholders—clients, contractors, subcontractors, and suppliers—making meeting coordination a constant challenge. Ensuring the right people are informed, invited, and aligned is critical to project success. 

ConstructionOnline's Meeting Minutes feature simplifies this process by allowing users to easily add attendees directly within the platform. This streamlines communication, keeps teams on the same page, and ensures no one misses key discussion. 

🗒️Note: When adding Meeting Attendees, it's important to understand how invitations are queued and sent based on the selected settings: 

  • During Meeting Creation: The following option is selected by default: "Queue invites to Attendees as they are added. Invites will be sent after the Meeting is saved."  This means invitations will be automatically queued and sent to all added attendees once you click "Create." 
    • If this box is unchecked, invitations will not be sent out automatically—you'll need to manually queue and send them using the blue "send invites to all Attendees" action text. 
  • When Editing an Existing Meeting: Adding attendees will only queue invitations if the checkbox is selectedIf it is not selected, you must either reselect it before adding attendees or use the blue "send invites to all Attendees" action text to queue invitations. Invitations are sent once you click "Save." 

Please note: If you add more attendees after manually queuing invites for others, the new attendees will not be included in the previously queued invites. You will need to repeat the manual queuing process for any additional attendees.

HOW TO ADD ATTENDEE(S) TO A MEETING

A. During Meeting Creation:

  1. Attendees can be added during the meeting creation process
  2. Once within the "Create Meeting" extension blade that opens on the right side of your screen, navigate to the "Attendees" tab

  3. Press the blue "Click here" text to open the Contact search window.

    1. ConstructionOnline will automatically populate a list of "Suggested Contacts."

      1. The list will appear with your own user profile ("me") first, followed by your ConstructionOnline Contacts in alphabetical order. 
  4. Search and select the desired Contact(s) or click on the Contact(s) from the list of those suggested to add as meeting attendee(s).

  5. Once you have finished adding the attendee(s) and other meeting information you wish to include, click the blue "Next Step" button to finalize attendees and proceed with meeting setup. 

B. From within an Existing Meeting:

  1. Access the "Company Overview" tab through the Left Sidebar or the Company Selector in the Top Navigation Bar. 
    1. If you're working within a specific Project, use the Feature Selector to access that Project's Meetings. 
  2. Select Meetings under the "Meeting Minutes" section. 
  3. Hover over the desired meeting and either press the blue "Details>" button or right-click and select "Edit."

  4. Follow Steps 2-4 from the section above.

  5. Click the blue "Save" button to finalize updates to the Meeting Attendees and close the Meeting Details blade.  

ADDITIONAL INFORMATION 

  • Even after a meeting begins and "Minutes Mode" is switched on, Admin and Company Users with the appropriate permissions retain the ability to add attendees. 
  • Subscription Level: ConstructionOnline's Meeting Minutes feature is available for companies with current ConstructionOnline Commercial or Multi-Family subscriptions at Team, Business, and Enterprise levels. 
    • Meeting Minutes is also available as a Per-Company Add-On for all other plans. 
  • Permissions: Admin Users and Company Users with "Can Create, Edit, and Delete" for Meeting Minutes can add meeting attendees to meetings visible to them. 
    • For Company Users, this includes meetings they've created, are invited to, and/or those set as Public.  
  • CO™ Mobile App: Currently, the Meeting Minutes feature is exclusively available through browser access to ConstructionOnline.
