Requests for Information in the TeamLink™ Portal

View, submit, respond to, and resolve RFIs directly through the TeamLink Portal

BACKGROUND

Requests for Information are a critical part of keeping construction projects moving. Through the ConstructionOnline™ Portal, TeamLink Users with the appropriate access can stay on top of project RFIs without ever leaving the Portal—viewing RFI details, submitting new requests, posting responses, marking RFIs as resolved, and more. 

THINGS TO CONSIDER

  • Access to RFIs in the Portal requires an existing TeamLink User account. If you do not currently have access, contact the builder to be added as the appropriate Portal user. 

  • RFIs displayed in the Portal reflect those assigned to the TeamLink User; available actions may vary based on the builder's TeamLink permissions settings.

⚠️ Important: RFIs serve as formal project documents—once an RFI has been created, actions to the RFI cannot be reversed. This ensures the integrity of the RFI record is maintained throughout the project.

HOW TO USE REQUESTS FOR INFORMATION IN THE PORTAL

Access RFIs:

  1. Navigate to the desired project's Requests for Information from within the Portal.

    1. This will open the RFIs feature, displaying the RFI Status Breakdown and RFIs list.

Filter RFIs:  

  1. Click "Filters" in the upper left corner of the RFIs list to expand the Filters panel.

  2. Filter RFIs by Due DateAuthored By, RecipientAssigned ResourceComplexityTradeStatus, or Tags to narrow the list to the most relevant RFIs.

To clear established Filters, you can -

  1. Select the white X next to the specific Filter category you want to revert back to "All."
  2. Use the blue "Clear Filters" text next to the ❌ to reset the table to the default filters of "All" for each category. 

View an RFI:  

  1. Click on an RFI from the list to open it on the right side of your screen, where the RFI's details are displayed, including -

    3. Authored By, Assigned To, & Sent To
    4. Location & Trade 
    5. Cost Impact & Added Days 
    6. Question/Clarification Needed

Reply to an RFI:  

  1. Select the desired RFI from the list. 
  2. Click the blue "Reply to Selected RFI" text in the upper right corner of the RFIs list.

  3. Enter your response in the textbox and attach any supporting Files as needed using the "Attach Files" option.

  4. Click the blue "Post Response" button to send your reply.  

Mark an RFI as Resolved or Unresolved:  

  1. Select the desired RFI from the list. 
  2. At the bottom of the RFI details, click Mark RFI asResolved or Mark RFI asUnresolved as appropriate.

    1. Once marked, the RFI status will be dated and will update in the list—a green thumbs up icon indicates a Resolved RFI, while a red thumbs down icon indicates an Unresolved RFI. 

Reopen an RFI:  

  1. Select the desired RFI from the list. 
  2. Click the gray 3-dot Action Menu in the upper right corner of the RFI and select "Reopen RFI" from the dropdown.

  3. In the "Choose Action for Unresolved RFI" window, select the preferred action:

    1. Send another question to current Contact — allows you to send a follow-up to the existing contact. 
    2. Send RFI to additional Contact(s) — route the RFI to one or more new contacts. 
  4. Click the blue "Continue" button to complete the desired action. 

Create an RFI:  

  1. Click the green (+) Add RFI button.

  2. In the "New Request for Information" window, enter the RFI details, including - 
    1. Details:
      1. Related Project: Displays the project the RFI is associated with. ConstructionOnline automatically populates this field and it cannot be modified. 
      2. To: Enter the ConstructionOnline contact(s) the RFI is being sent to. This field is required
      3. Number: The RFI number which is auto-assigned sequentially; can be adjusted if needed. 
      4. Subject: Enter a brief, descriptive title for the RFI. 
      5. Authored By: The contact who is creating the request. By default, ConstructionOnline populates the current user. 
      6. Assigned To: The contact responsible for responding to the RFI. 
      7. Due Date: The date by which a response is needed. 
      8. Added Days: Indicate any additional days required as a result of this RFI. 
      9. Drawing Number: Reference the relevant drawing(s) associated with the RFI. 
      10. Location: Specify the location on the project the RFI pertains to. 
      11. Trade: Select the applicable trade. 
      12. Complexity: Set the complexity level of the RFI: Low, Medium, or High
      13. Cost Impact: Enter an estimated cost impact, or check "To Be Determined" if unknown. 
      14. Cost Code: Associate a Cost Code with the RFI 
      15. Tags: Add tags to help organize and filter RFIs. 
      16. CC: Add any additional contacts to be copied on the RFI. 
      17. Question/Clarification Needed: Enter the full question or description of the information being requested. This field is required
    2. Attachments: Attach any supporting Files or Photos to the RFI as needed. 
  3. Click either the blue "Create RFI" button to create the RFI or the "Create RFI & Send Emails" button to notify recipients immediately.

Print an RFI

  1. Select the desired RFI from the list. 
  2. Click the gray 3-dot Action Menu in the upper right corner of the RFI and select "Print RFI" from the dropdown.

  3. This will open the "Create RFI Summary" window, where you can configure the report settings, including -

    1. Select Project: Confirm the associated project. 
    2. Select Individual RFI or All RFIs: Choose to print a single RFI or all RFIs for the project. 
    3. Select Sort Type: Choose how RFIs are sorted in the report. 
    4. Filter By: Narrow the report by Status, Trade, Author, Recipient, Assigned Resource, or Complexity.
    5. Attachments: Choose whether to include File and Photo attachments, and whether to display one RFI per page. 
    6. Page Orientation: Select Portrait or Landscape
  4. Click the blue "Create" to generate the RFI summary report in a new browser tab. 
  5. Click the "Print" button in the upper right corner to configure your printer settings and print the RFI(s).

Export RFIs

  1. Click the gray 3-dot Action Menu in the upper right corner of the RFIs list. 
  2. Select "Export to Excel" from the dropdown.

    1. ConstructionOnline will automatically download the RFIs list as an Excel (.XLSX) file to your device.

ADDITIONAL INFORMATION

  • Permissions: TeamLink Portal permissions are managed by ConstructionOnline Company Users. If you have questions about your level of access within the Portal, contact the general contractor directly. 
  • CO™ Mobile App: The RFI feature is available via the mobile app.
