Streamline approvals with the ConstructionOnline™ + Docusign eSignature Integration
BACKGROUND
ConstructionOnline serves as a central hub for managing all facets of a construction project, including critical project documents, reports, and records. Many of these files require formal signatures to confirm approvals, ensure compliance, and keep projects progressing as planned. Whether sending one of ConstructionOnline's professional reports or a custom contract uploaded from an external source, the ability to collect signatures efficiently is key to maintaining compliance and driving successful execution.
With the ConstructionOnline + Docusign integration, users can send a wide range of project files for secure digital signatures directly from within ConstructionOnline—including reports, contracts, and other supported file types. By eliminating the need for manual printing, scanning, or emailing, this streamlined signature workflow improves efficiency, reduces risk, and ensures that all signed documents are stored securely alongside all other critical project data in ConstructionOnline.
THINGS TO CONSIDER
- Before you can send files using Docusign, your ConstructionOnline account must be integrated with an active Docusign account.
- Envelopes generated from files sent through ConstructionOnline's Docusign integration count toward your Docusign envelope limit—even if the envelope isn't ultimately sent.
- Each Docusign envelope can be linked to only one ConstructionOnline file. You cannot attach multiple files to a single envelope or reuse the same file across different envelopes.

Once an envelope has been generated for a file, the created date and Docusign icon will appear alongside the file in ConstructionOnline's Project Files, Company Files, or My Files. If you attempt to resend the same file, you'll receive a message informing you of the file's status: "Document Already Sent to Docusign."

To send the file again, you'll need to create a copy and initiate a new envelope from the duplicated version.

STEPS TO SEND A FILE WITH DOCUSIGN
A. Send a Report Created in ConstructionOnline:
- Access the "Company Overview" tab through the Left Sidebar or the Company Selector in the Top Navigation Bar.
- Select the desired Report type under the Company Reporting section.
- From the list of available reports, hover over the one you would like to generate and click the blue "Create" button.
- Follow the prompts to create the chosen report, and click the blue "Create" button to generate the report, which will open in a new browser tab.
- Initiate the Docusign workflow
- In the report viewer, click the "Send with Docusign" button in the upper right corner.
- In the report viewer, click the "Send with Docusign" button in the upper right corner.
- Save the Report to ConstructionOnline
- The system will open the "Save to ConstructionOnline" modal, prompting you to save the report to the system before sending.
- Enter the following information to save the report to your ConstructionOnline account before sending -
- File Name: Enter a clear, descriptive name for the report.
ConstructionOnline, by default, will name the report [Project Name - Report Type]. - File Type: Select your preferred file format for the report.
By default, ConstructionOnline generates reports as PDF files. - Select Project: Associate the report with a Project (if applicable).
If working within a specific Project, ConstructionOnline will automatically populate the current Project.
If the document is not project-specific, you may choose to save it to "My Files" or "Company Files." - Select Destination: Choose the desired folder within Project Files, My Files, or Company Files.
- File Name: Enter a clear, descriptive name for the report.
- Complete Docusign Details
- Once the report has been saved to ConstructionOnline, the "Send with Docusign" window will open, where you can configure options for sending:
- Send Method
Choose to send with or without a Docusign Template. - Email Details
- Email Subject: Customize the email subject line
ConstructionOnline, by default, populates the subject line as "ConstructionOnline] You have been sent a Docusign file for your review." - Default Email Message: Choose from available email templates
- Message: Enter a custom email message and/or any additional notes or instructions.
- Email Subject: Customize the email subject line
- Recipients
- Set Signing Order: Toggle on to require sequential signatures.
- When enabled, the numbers displayed next to the listed recipients indicate the signing order.
- Recipients: Select contacts from your ConstructionOnline Contacts List.
- Set Signing Order: Toggle on to require sequential signatures.
- Send Method
- Once the report has been saved to ConstructionOnline, the "Send with Docusign" window will open, where you can configure options for sending:
- Send to Docusign
- Click the blue "Send" button to forward the report to Docusign.
⚠️ Important: ConstructionOnline applies the envelope to your Docusign limit as soon as it is created—regardless of whether it is completed, sent, or canceled.

- Open in Docusign
- ConstructionOnline will prompt you to leave the platform. Click the blue "Continue" button to open the envelope in your Docusign account.

- Finalize in Docusign
- The report will open in your Docusign account, where you can review the document and insert any required fields (such as Signature, Initial, Date Signed, and more) before finalizing and sending.
- Click the purple "Send" button to send the document to the recipient(s).
- Return to ConstructionOnline
- Once sent, you will be automatically redirected back to ConstructionOnline, where the document will now display the sent date next to the Docusign icon to indicate the "Sent" status.

B. Send an Existing File:
- Locate the file you wish to send within Project Files, Company Files, or My Files in your ConstructionOnline account.
- Right-click on the document and select "Send with Docusign" from the dropdown menu.
- Follow Steps 7 - 11 outlined above (From Report Creation) to complete the sending process.
ALTERNATIVE ACCESS POINT
- You can also send a file with Docusign directly from an existing file's details in ConstructionOnline:
- Navigate to the desired file within your ConstructionOnline account.
- Right-click on the document and select "View Details."
- In the Document Details view, click the "Docusign" tab.
- Press the purple "Send File to Docusign" button.
- Follow Step 7-11 from the "From Report Creation" section above to complete the sending process.
ADDITIONAL INFORMATION
- Subscription Level: The Docusign eSignature Integration is available for ConstructionOnline accounts with active Team, Business, and Enterprise subscriptions.
- CO™ Mobile App: Docusign eSignature Integration is currently available exclusively via browser access to ConstructionOnline.
