Manage Warranty Settings

Customize company warranty settings within ConstructionOnline™

BACKGROUND 

Warranty Tracking in ConstructionOnline is intended to streamline the construction warranty management process. With customizable settings able to be applied to all warranties across your company, Users can define custom coverage types, designate service managers, and manage reminder settings. By having these elements applied from the start, creating and tracking construction warranties, issues, and appointments is faster and easier than ever before. 

STEPS TO CONFIGURE WARRANTY SETTINGS

  1. Navigate to the desired Project via the Left Sidebar.
  2. Locate and select the "Warranty Tracking" tab.
    1. If you have chosen to have Warranty Tracking appear as a Project Quick Link, you may also access the Warranty Tracking feature from the Project's "Overview" tab. 
    2. If you have not yet completed the Project’s initial Warranty Tracking setup sequence, you will be prompted to do so by clicking on the green “Create a New Warranty” button.

  4. Select "Warranty Settings" from the dropdown menu to access -

    1. Coverage Types: Create and manage the coverage types that are assignable to warranties.    
      1. Choose the "Name," "Default Duration," and "Color" of each type.
      2. Control your coverage type options by hitting the green (+) Add New Coverage Type to create a new one or the white X to delete an existing type. 
    2. Service Managers: Select Company Users to review service requests and schedule appointments. 
      1. Only Company Users can be assigned as service managers. 
        1. If a User has already been assigned as a service manager during a Project's initial Warranty Tracking setup sequence, they cannot be removed from the list.

          An alert will pop up, notifying you to disassociate that User as a service manager from all Projects.

    3. Reminder Settings:  Create and manage reminders for warranty and coverage type expirations and upcoming appointments by clicking on the reminder type to edit the associated Email Templates and Automated Reminders -
      1. Email Templates: Customize the messages that will appear in the email body when reminders are sent. 
        1. There are two preloaded email templates in ConstructionOnline for each warranty reminder type which will auto-populate the warranty’s related information.
          1. Manage existing email templates by opening their gray 3-dot Action Menu and choosing from the options: "Edit," "Rename," "Duplicate," or "Delete." 
          2. Beyond the two existing, customizable templates, new email templates can be created by clicking the green (+) Add New Email Template button. 
      2. Automated Reminders: Manage automatic emails that will be sent for warranties. 
        1. Choose the "Status," "Email Template," "Send Type," and "Frequency" for the reminder being sent. 
          1. A reminder’s status must be toggled On to be activated and can be toggled Off at any time.
        2. When managing your automated email reminders, select the green (+) Add New Automated Email to add another reminder to your list. You can also click on the gray 3-dot Action menu of the desired reminder to delete it.  
        To save the changes made to the reminders within the individual warranty type, press the blue "Save" button. This will bring you back to the main "Warranty Tracking Settings" screen. 
  5. Click the blue "Save" button to save all modifications made within your Warranty Settings. 
    1. Switch between the three tabs without losing your edits. Click the blue “Save” button in the main "Warranty Tracking Settings" screen to save and exit.  

ADDITIONAL INFORMATION

  • Alternative Access Point: Warranty Tracking Settings may also be accessed from the “Warranty Tracking” tab in the Company Overview. 
  • Subscription Level: ConstructionOnline's Warranty Tracking feature is available for companies with current ConstructionOnline subscriptions at Team, Business, and Enterprise levels.
    • Warranty Tracking is also available as a Per-Company Add-On for all other plans. 
  • Permissions: Admin Users and Company Users with "Can Create & Edit" or “Can Create, Edit, & Delete” permissions for Warranty Tracking can manage the Warranty Settings.
  • CO™ Mobile App: Currently, Warranty Tracking features are exclusively available via browser access to ConstructionOnline.
