Overview: Licenses
Understanding how license information is tracked in ConstructionOnline™
A construction license is a government-issued authorization that allows an individual or company to perform specific types of construction work within a jurisdiction.
In ConstructionOnline, license records provide a central place to store credentials and expiration dates. When the OnGuard™ Insurance & Certificates feature is used, the platform displays the current standing of a license based on the recorded dates and active status.
Why Licenses Are Tracked
Many companies keep license information available during planning, scheduling, and documentation review. Storing this information in ConstructionOnline allows project teams to quickly confirm credentials without searching through files or emails.
Recording licenses can help teams:
- Check credentials before assigning work
- Notice upcoming expirations
- Maintain project documentation
- Keep a history of qualifications for past work
How License Status Is Determined
ConstructionOnline determines the displayed license standing using:
- Active / Inactive Setting
- Effective Date
- Expiration Date
Other fields—such as License Type, Number, Classification, and Agency details—are stored for reference and reporting.
As a license approaches its expiration date, its status changes to indicate when updated documentation may be required.
Status Indicators
License status is shown using color indicators in the "Expiration Breakdown" table and Expiration Tracker.
🔵Not Yet Effective:
The license has a future effective date
🟢Active:
The license is current and no action is needed
🟡Expiring Soon:
The license is approaching its expiration date and may require renewal
🔴Expired:
The license has passed its expiration date
The "Expiration Breakdown" table displays all four statuses, while the Expiration Tracker shows active, expiring, and expired states.

Using License Records During Projects
License records act as a reference point for your team. If a credential is no longer current, updated information can be requested before scheduling or continuing work.
Keeping license records in one location helps avoid:
- Assigning work without verified credentials
- Delays while locating documentation
- Duplicate record keeping across systems
Common License Types
Projects may track many license types, including:
- General Contractor License: authorizes oversight and management of an entire construction project, including coordinating subcontractors
- Specialty Contractor License: authorizes work within a specific trade such as electrical, plumbing, HVAC, roofing, or similar scoped work
