Understanding how certification records are tracked in ConstructionOnline™

A construction certification is a credential that documents specialized training, education, or qualifications related to a specific role or scope of work. Certifications are typically issued by professional organizations, training providers, or manufacturers after completing required coursework or assessments. 

🗒️ Note: Licenses grant legal permission to perform work. Certifications document training or qualifications for specific responsibilities. 

In ConstructionOnline, certification records provide a central place to store credentials and expiration dates. When the OnGuard™ Insurance & Certificates feature is used, the platform displays the current standing of a certification based on its recorded dates and active status. 


Why Certifications Are Tracked

Some projects require specific training or qualifications before certain responsibilities can be assigned. Keeping certification records in ConstructionOnline allows teams to confirm qualifications without locating external documents. 

Recording certifications can help teams: 

  • Verify qualifications before assigning specialized tasks 
  • Provide documentation when requested 
  • Identify upcoming expirations
  • Maintain training history 

How Certification Status Is Determined 

ConstructionOnline determines the displayed certification standing using: 

  • Active / Inactive Setting 
  • Effective Date 
  • Expiration Date 

Other fields—such as Certification Type, Number, Classification, and Agency details—are stored for reference and reporting. 


Status Indicators 

Certification status is shown using color indicators in the "Expiration Breakdown" table and Expiration Tracker.

🔵Not Yet Effective

The certification start date has not yet arrived 

🟢Active

The certification is valid

🟡Expiring Soon:

The certification is approaching expiration date

🔴Expired

The certification is no longer valid 

The "Expiration Breakdown" table displays all four statuses, while the Expiration Tracker shows active, expiring, and expired states.

Using Certification Records During Projects 

Certification records help teams confirm who is qualified to perform specific responsibilities. If a certification is no longer current, updated documentation can be requested or responsibilities reassigned. 

Keeping certification records in one location helps avoid: 

  • Assigning specialized work without verified training 
  • Delays locating documentation 
  • Maintaining duplicate records outside the platform

Common Certification Examples

Projects may track various credentials, including: 

  • Project Management Professional (PMP) Certification: a globally recognized certification demonstrating advanced project management skills, commonly held by construction project managers 
  • OSHA Outreach Training: widely recognized safety training programs (technically certificates of completion rather than formal certifications) that educate workers and supervisors on hazard recognition, avoidance, abatement, and prevention in construction environments. 
  • LEED Green Associate Certification: signifies a fundamental understanding of green building principles, practices, and the LEED rating system, which is crucial for professionals working on environmentally conscious projects.
