Edit a Meeting

Make changes to an existing meeting in ConstructionOnline™

BACKGROUND 

In construction, plans shift fast, and meeting records need to keep up. Whether modifying attendees, updating the agenda, or refining meeting details, teams need the flexibility to make changes with ease and efficiency. 

ConstructionOnline's Meeting Minutes feature makes it easy to update any part of an existing meeting, so records stay current and teams stay aligned throughout the entire project lifecycle.  

HOW TO EDIT A MEETING 

  1. Access the "Company Overview" tab through the Left Sidebar or the Company Selector in the Top Navigation Bar. 
    1. If you're working within a specific Project, use the Feature Selector to access that Project's Meetings. 
  2. Select Meetings under the Meeting Minutes section. 
  3. Locate the meeting you wish to edit. 
  4. Hover over the meeting and either press the blue "Details>" button or right-click and select "Edit."

  5. The meeting's extension blade will open on the right side of your screen, where you can make the changes as needed within any tab

    1. Details: General information about the meeting, such as its name, overview, related project, and scheduled date & time. 
    2. Mode & Stage: The meeting's current operating mode and its overall status. 
    3. Attendees: The list of participants and invitation options.   
    4. Agenda: The meeting's topics and discussion points. 
    5. Notepad: Any informal, free-form notes pertinent to the meeting. 
    6. Attachments: Any relevant files and/or photos for the meeting. 
    7. Reminder: Configure or update attendee notifications, including timing and delivery method. 
  6. Click the blue "Save" button to finalize the changes made to the meeting. 

⚠️ Important for Recurring Meetings:

When you modify a meeting that is part of a repeating meeting series in ConstructionOnline, you'll be prompted to choose how those changes are applied:

  • Apply changes to all future meetings: Updates every instance of the meeting from the modified date onward. 
  • Apply changes only to the current meeting: Modifies only the current, selected instance— leaving other instances in the series unchanged.

ADDITIONAL INFORMATION 

  • Alternative Access Point: You may also edit certain meeting fields directly from the Meetings List by clicking within the appropriate column of the dynamic table.
  • You can see information regarding this activity logged in the Company History Log, where ConstructionOnline records that a meeting was edited, the user who edited the meeting, and the date and time of the edits.

  • Subscription Level: Meeting Minutes is available for companies with current ConstructionOnline Commercial or Multi-Family subscriptions at the Team, Business, and Enterprise level. 
    • Meeting Minutes is also available as a Per-Company Add-On for all other plans. 
  • Permissions: Admin Users and Company Users with "Can Create, Edit, and Delete" for Meeting Minutes can edit meetings visible to them. 
    • For Company Users, this includes meetings they've created, are invited to, or that are set as Public.  
  • CO™ Mobile App: Currently, the Meeting Minutes feature is exclusively available through browser access to ConstructionOnline.
