Create New Submittals in the ConstructionOnline™ Mobile App

Submit construction submittals on the go

BACKGROUND

Submittals in ConstructionOnline provide a structured, trackable workflow for reviewing and approving project documents, drawings, and materials before work begins. The mobile app allows Company Users to create and send Submittals directly from the field—ensuring faster communication, fewer delays, and better documentation. 

HOW TO CREATE SUBMITTALS IN CONSTRUCTIONONLINE MOBILE

  1. Open the ConstructionOnline Mobile App on your device.
  2. Click Submittals under the Communication section in your Tools dashboard.

  3. Select the desired Project from your Projects list. 
    1. This will display all Submittals associated with the selected Project. 
  4. Press the orange (+) button in the bottom right corner of your screen.   CO Mobile's Upload button
  5. This will open the "New Submittal" window where you can enter information about the Submittal, including - 
    1. Details
      1. Title: Give the Submittal a name. This field is required
      2. Number: The number assigned to the Submittal for organizational purposes. 
        1. ConstructionOnline assigns a sequential number by default, reflecting the total number of previously created Submittals. However, the number can be changed or deleted.
      3. Rev: Enter the revision number, if applicable. 
      4. Description: Add any relevant notes or details about the Submittal. 
      5. Received From: Select the Contact from whom the Submittal will be received from. 
        1. ConstructionOnline, by default, populates the user's Contact who is creating the Submittal. The sender can be changed.
      6. CC: Add any additional Contacts who should be copied on the Submittal. 
      7. Type: Choose the Submittal type for categorization. 
      8. Spec Selection: Link the corresponding spec section, if applicable. 
      9. Trade: Select the relevant trade associated with the Submittal. 
      10. Cost Code: The relevant Cost Code. This field cannot be modified.
      11. Cost Impact: Describe any potential cost impact associated with the RFI.
        1. By default, ConstructionOnline has the "To Be Determined" box selected. This is useful when the cost impact is unknown.
      12. Drawing Number: Enter the related drawing or sheet number. 
      13. Location: Specify the location related to the Submittal. 
      14. Received Date: Select the date the Submittal was received. 
      15. Issue Date: Choose the date the Submittal is being issued. 
      16. Final Due Date: Enter the deadline by which the Submittal must be fully approved. 
      17. Make Submittal Private: Toggle to restrict visibility to authorized Contacts only. 
    2. Submittal Approvers
      1. Choose Approval Type:
        1. Sequential: Approvers respond in a set order.
        2. Parallel: Approvers can respond at any time.
      2. Choose Approvers: Assign Approvers and the number of days each has to respond. At least one Approver is required
        1. Sequential Approvals can display "Ball In Court"  by toggling on "Days to Respond," indicating who is responsible for the next action. 
      3. Choose Submitter (optional): Assign the Contact responsible for submitting the material. 
    3. Status
      1. Draft: Submittal is still in progress and not visible to Approvers and Submitter. 
      2. Open: Submittal is released for review and visible to all assigned Contacts
      3. Closed: Submittal is complete and no additional action is required
    4. Files & Photos: Upload any attachments pertinent to the Submittal.
  6. Click either the “Create Submittal” button or the “Create & Send Emails” button. 
    1. Selecting the “Create RFI & Send Emails” button will send emails to the Assigned Resource(s).

ADDITIONAL INFORMATION

  • Subscription Level: ConstructionOnline's Submittals feature is available for all Commercial, Specialty & Subs, Multi-Family, and Enterprise active  ConstructionOnline subscriptions. 
    • Submittals & Transmittals are also available as a Per-Company Add-On for all other plans. 
  • Permissions: Company Users must have "Can Create, Edit, & Delete" Submittals permissions to create new Submittals.
