Schedule recurring construction meetings in ConstructionOnline™
BACKGROUND
In construction, consistent communication is key to driving project momentum. Recurring meetings—such as weekly updates, daily huddles, or monthly reviews—help maintain alignment across teams and timelines. But manually scheduling each meeting wastes time and increases the risk of missed updates and miscommunication.
With ConstructionOnline, you can streamline this process by creating Repeating Meetings that automatically populate on your calendar. This minimizes administrative work while ensuring that critical conversations happen when they should—every time.
THINGS TO CONSIDER
When setting up repeating meetings, keep in mind that each instance of the repeating meeting will appear in your "Meetings" List. While an invitation will only be sent out for the initial meeting in the series, notifications and reminders will continue to be sent out as configured for each subsequent meeting in the series.HOW TO CREATE A REPEATING MEETING
A. During Meeting Creation:
- Begin by choosing the option to Create a New Meeting
- In the "Create Meeting" extension blade opened on the right side of the screen, scroll down to the "Meeting Date & Time" section.
- Click the "Repeating Meeting" checkbox to open the "Repeating Event Settings."
- Configure the meeting's recurring schedule by selecting -
- Frequency: Select how often the meeting recurs (Daily, Weekly, Monthly).
- Repeat Every: Specify the interval of recurrence (e.g., every 1 week, every 2 months).
- End repeating events on: Define the date when the repeating series should end.
- Repeat On:
- Daily: No further selection needed.
- Weekly: Select the specific day(s) of the week.
- Monthly: Choose a date (the 15th of each month) or day of the month ("Third Monday" or "First Thursday") on which the meeting should be scheduled.
- Once selected, click the blue "Save" button.
- This will return you to the meeting's extension blade, where you can finalize additional meeting details.
- Following completion of all necessary meeting details, confirm the creation of the repeating meeting by clicking the blue "Create" button.
B. From within an Existing Meeting:
- Access the "Company Overview" tab through the Left Sidebar or the Company Selector in the Top Navigation Bar.
- If you're working within a desired Project, use the Feature Selector to access that Project's Meetings.
- Select Meetings under the "Meeting Minutes" section.
- Hover over the desired meeting and either press the blue "Details" button or right-click and select "Edit."
- Follow Steps 2-5 from the section above.
- Press the blue "Save" button to finalize all changes to the meeting.
ADDITIONAL INFORMATION
- Subscription Level: Meeting Minutes is available for companies with current ConstructionOnline Commercial or Multi-Family subscriptions at Team, Business, and Enterprise levels.
- Meeting Minutes is also available as a Per-Company Add-On for all other plans.
- Permissions: Admin Users and Company Users with "Can Create, Edit, and Delete" for Meeting Minutes can create repeating meetings and modify existing meetings visible to them.
- For Company Users, this includes meetings they've created, are invited to, or those set as Public.
- CO™ Mobile App: Currently, the Meeting Minutes feature is exclusively available through browser access to ConstructionOnline.
