Maintain organized project records in ConstructionOnline™ by archiving unneeded construction permits
BACKGROUND
While active permits are essential for ongoing work, completed or superseded permits can clutter project records, hindering efficient data retrieval and potentially leading to confusion amongst project teams. Archiving construction permits within ConstructionOnline offers a practical solution to maintain a clean and organized "Project Permits" repository. Using the Permit Tracking feature, companies can archive and retain essential records for auditing and reference, offering a more efficient and visually refined document retrieval process for improved project management.
BEST PRACTICE RECOMMENDATION
It is a best practice to archive permits rather than delete them if there is any possibility that the permit may be needed for future reference. Permit deletion is an irreversible action that permanently removes the permit from the system and disrupts the continuity of essential project records. To safeguard against accidental data loss, ConstructionOnline requires permits to be archived before deletion, except when completing the action within the permit's extension blade.
⚠️ Important: Archiving a permit sets it to "Inactive," inhibits it from being edited, and prevents permit reminders from being sent.
HOW TO ARCHIVE A PERMIT
- Access the "Company Overview" tab through the Left Sidebar or the Company Selector in the Top Navigation Bar.
- Under the "Company" section, select "Permit Tracking."
- This will open your "Project Permits" List.
- Locate the desired permit you wish to archive.
- Right-click on the permit and select the "Archive" option.
- Once archived, the permit will be grayed out within the "Project Permits" List.
- Once archived, the permit will be grayed out within the "Project Permits" List.
➡️ Pro Tip: Quickly declutter your "Project Permits" List by filtering for "Not Archived" permits. This will hide all Archived permits from the list view.
RECOVER AN ARCHIVED PERMIT
An archived permit can be unarchived at any point by right-clicking on the permit again and selecting the "Unarchive" option.
- However - unarchiving a permit does not automatically change its status; it will remain "Inactive" until manually changed.
ADDITIONAL INFORMATION
- Alternative Access Point: A permit can also be archived by selecting "Edit" and checking the "Archive this Permit" box within the permit's extension blade.
- Subscription Level: ConstructionOnline's OnGuard Permit Tracking feature is available for companies with current ConstructionOnline subscriptions at Team, Business, and Enterprise levels.
- Permit Tracking is also available as a Per-Company Add-On for all other plans.
- Permissions: Admin Users and Company Users with "Can Create, Edit, & Delete" permissions for Permits can archive existing permits.
- CO™ Mobile App: Users with the appropriate permissions can archive permits via the ConstructionOnline Mobile App.
