Accept or Reject a Meeting Invitation

BACKGROUND

In the fast-moving world of construction, clear communication and timely scheduling are essential. When meeting invitations go unanswered, it creates uncertainty, making it harder to finalize agendas, coordinate resources, and ensure key stakeholders are present. The result? Wasted time, last-minute scramble, and potential delays. 

ConstructionOnline's Meeting Minutes feature helps eliminate this uncertainty by allowing users to accept or reject invitations seamlessly. Responses update attendance statuses in real-time and notify the meeting creator instantly, ensuring everyone stays informed and meetings run smoothly from the start.  

HOW TO ACCEPT OR REJECT A MEETING INVITATION 

  1. When invited to a construction meeting in ConstructionOnline, you'll receive a meeting invitation directly in your email inbox.
  2. Open the meeting invitation email and click on the desired response (Yes, No, or Maybe) under the "Reply for [Your Name]:" text. 
    1. Yes: You will attend the meeting.
    2. No: You are unable to attend the meeting.
    3. Maybe: You are undecided or tentatively available.

    4. Clicking any option will open the Attendance Status web page in a new browser tab. 
  3. The response option clicked in the email invitation will be pre-selected for you on the Attendance Status page. Confirm your attendance status and enter any relevant notes or comments (i.e. why you are unable to attend the meeting, questions for the meeting organizer, etc).

  4. Click the blue "Submit Confirmation" button to set your attendance status and notify the meeting creator.
    1. A confirmation message will appear. No further action is required.

  5. Exit the web browser. 

🗒️ Note: If you're availability changes, you can update your attendance status at any time by repeating these steps. 

ADDITIONAL INFORMATION 

  • Subscription Level: Meeting Minutes is available for companies with current ConstructionOnline Commercial or Multi-Family subscriptions at Team, Business, and Enterprise levels. 
    • Meeting Minutes is also available as a Per-Company Add-On for all other plans. 
  • Permissions: Admin Users and Company Users with "Can Create, Edit, and Delete" for Meeting Minutes can also manage attendees' attendance status to meetings visible to them. 
    • For Company Users, this includes meetings they've created, are invited to, or those set as Public. 
  • CO™ Mobile App: Currently, the Meeting Minutes feature is exclusively available through browser access to ConstructionOnline.
